Custom Reporting Mail Merge Feature

Overview

The Mail Merge feature in Custom Reporting allows you to generate a separate document for each row of data returned by a custom report. CMPOnline populates a DOCX template using mail merge fields that match the field names in your report.

Both Mail Merge and Batch Documents can use Custom Reporting, but they use it differently. Batch Documents uses a custom report to identify the case files for which a document package will be generated. Mail Merge uses the data returned by the report to fill in your template, creating one document per report row.

To set up a mail merge, we recommend keeping two browser tabs open: one for your Custom Report and one for your Document Template.

Execute Your Custom Report 

  • Navigate to Tools > Custom Reporting.
  • Execute the custom report you want to use for the mail merge.
  • Keep this report open in one browser tab as you will need the field names from the report when creating your document template. 

Create the Document Template

  • In a second browser tab, navigate to Administration > Setup > Document Templates.
  • Click “Create New DOCX”.
  • Build your document template as needed. 
  • To insert a mail merge field, select “Mail Merge” from the top menu. 
  • Click “Create Field”.
  • Select “MERGEFIELD”.
  • A merge field placeholder will be inserted into the document where your cursor position is. 
  • Inside the placeholder’s  quotation marks, enter the exact field name from your executed custom report. 
  • Continue adding mail merge fields as needed, using the field names available in your custom report.
    Note: The field names used in the document template must match the field names from the Custom Report. If a field is not named correctly, CMPOnline may not populate the information as expected. In addition, not all document merge fields are available in custom reporting. To request additional custom reporting fields, please contact a CMP Administrator.
  • Once you have finished creating your document, save the template in a designated folder, such as “Mail Merges”, or another location that works for your firm. 

Set up and Run the Mail Merge 

  • Return to the browser tab containing your custom report.
  • Using the drop-down arrow next to “Mail Merge Template”, locate and select the document template you created.
  • Click “Merge”.
  • Re-execute the report.
  • CMPOnline will generate a separate document for each row returned by the custom report, using the mail merge fields included in your template.
    NOTE: Your documents will be generated in a new browser tab. Please ensure that your browser’s pop-up blocker is disabled to allow the documents to open. 

Once your document has been generated from your Custom Report, a few options are available by clicking “File”. From this menu, you can choose options such as saving, printing, or emailing  the document (if Enhanced Email is enabled).
